The Value of Having
Maintenance Tracking Software

Maintenance Tracking, Okay, But What Kind of Maintenance Are We Talking About?

Bob Desk - maintenance management software - application available on PC, mobile, and tablet

Whether you are curious, a beginner, or an experienced user of maintenance tracking software, you are likely already familiar with its main applications. However, as this article is aimed at a broad audience, it is always good to review them.

Simply put, maintenance tracking focuses on 2 elements.
For each element, there are (broadly) three types of maintenance:

Premises maintenance, which is subdivided into:

1) curative premises maintenance
2) regulatory preventive premises maintenance
3) non-regulatory preventive premises maintenance

Equipment maintenance, which is subdivided into:

1) curative equipment maintenance
2) regulatory preventive equipment maintenance
3) non-regulatory preventive equipment maintenance

  • Corrective curative maintenance or more simply curative maintenance corresponds to an action aimed at correcting a failure. A failure is defined as an alteration or cessation of an asset’s ability to perform the required function (excerpts from NF X 60-010 standards). A failure can be partial or total, generally referred to as a breakdown.
  • Preventive maintenance is an operation generally (indeed, always) carried out according to a schedule defined either by the client or by regulations.

There are therefore two types:

– Regulatory preventive: inspection of fire extinguishers, air conditioning, automatic doors,
electrical installations, smoke extraction, elevators, lifting devices, etc.
– Non-regulatory preventive: lubrication, regular visits to a store to
change light bulbs or refix elements,

Now that we have laid the main groundwork regarding maintenance, let’s get to the heart of the matter.

Good to know:

When we speak of maintenance tracking software, we generally imply preventive maintenance tracking software.
When we speak of intervention tracking or troubleshooting software, we generally imply corrective maintenance tracking software.

Bob! Desk integrates both types of maintenance for greater efficiency.

Before understanding how to do better, let’s first see what needs to be done

As we have seen, maintenance (regardless of its type) can apply to a location and/or to several pieces of equipment within that location.

Thus, when one has to manage

– multiple locations,
– multiple pieces of equipment requiring regulatory maintenance,
– multiple service providers,
– plus non-regulatory maintenance…

..One can quickly end up with multiple calendars to create, fill, check, and update. Furthermore, one must (if not equipped with the right tools) create reminders in their agenda, for example, to avoid missing deadlines which are, in some cases, very important for human safety, potential damage, liability, economic losses, etc.

An agenda that must already be well-stocked if one is a maintenance manager—and this—without counting surprises.

The first benefit is to enable an inventory of equipment across all sites, for example, by integrating a checklist or nomenclature of materials to be inventoried to ensure no equipment is overlooked.

The second benefit lies in optimizing routine operations for preventive
maintenance, which are as follows:

– Creating tickets at the beginning of the period
– Assigning tickets to the relevant company / collaborator
– Sending an intervention request to the relevant company / collaborator
– Sending one or more reminders
– Collecting feedback from the technician and updating the ticket
– Monitoring performance and managing defect rectifications
– Calculating and optimizing costs

A large part of these actions are simple, repetitive, low-value-added tasks.

They are still too often managed via spreadsheets and/or unsuitable solutions that provide the service but are not truly efficient.

Indeed, a still too significant portion of our prospects consult us to move away from EXCEL or another solution they sometimes developed internally for long periods, without eliminating the major pain points and non-automated actions.

Maintenance tracking software precisely allows for their automation by using a maintenance function or generator. This automatically creates all interventions, reminders, and follow-ups.

Thus, by entering a few values:

– Date of last revision
– Frequency of revision or maintenance
– Reminder date (D minus X days before the deadline)
– End date (optional, for example, in case of closure)

95% of manual work is performed by the solution, which is highly beneficial and allows the maintenance manager to focus on technical and/or
optimization operations.

The optimization scheme is as follows:

Benefit #1: Generate time savings to..
Benefit #2: free up mental load to..
Benefit #3: focus on improvements, optimizations to..
Benefit #4: make the organization and company safer, more efficient, and more performant

To go further

The use of a maintenance tracking and optimization solution is highly recommended in all structures where more than ½ FTE is in charge of management.
Indeed, the greater the volume of time dedicated to management, the greater the benefit.

Its benefits are numerous:

– Optimization of managers’ productivity
– Optimization of technicians’ productivity
– Simplified intervention tracking
– Increased responsiveness
– Cost reduction through better expense visualization
– Centralization of information and simplification of knowledge sharing

Another advantage of information centralization is the ability to quickly and easily obtain key performance indicators, automatically updated and effortlessly:

– Mean Time To Resolution
– 80% Resolution Time – RT
– Mean Time Between Failures or Failure Rate
– Responsiveness to requests
– Request tracking with alerts
– Request tracking by sector, by equipment
– Automatic dashboards and graphs

Choosing the Right Solution

Our advice to help you choose better is to follow the 4 “S” rule. This will save you time because choosing a maintenance management solution is not trivial and always takes some time.

Okay, but what are the “4S”?

Bob! Desk CMMS - page data functionality

– Sector: Choose a solution proven in your sector
Today, there are at least a handful of suitable solutions adapted to your sector. You may be unique ;), but your needs are undoubtedly shared by others. Therefore, avoid solutions that promise too much in future developments and/or that do not seem to fit after an initial analysis. Developing a high-performance solution is not for everyone, is always costly, and time-consuming.

– Simple: In the maintenance sector, this is a rare and therefore precious
qualifier. An easy-to-use solution indicates perfect mastery of the subject, which is a guarantee of quality. Einstein understood this well by saying, “If you can’t explain it to a six-year-old, you don’t understand it yourself.” Another example, the iPhone, simple yet incredibly powerful.
Our advice: always prioritize simplicity over functional exhaustiveness.

– Sophisticated: Simplicity does not mean simplistic. Be demanding.
Creating a ticket is good. Being able to automatically transmit requests to technicians is better. Being able to track their performance in real-time is even better.
Share your solution dreams and ideas; publishers who master their subject are always eager for advice and ideas, so take advantage of sharing them.

– Sympathetic: combine utility with pleasure
Maintenance tracking software will be your daily management tool, so it is
important that you like it, that it is fluid, and that the user experience is
pleasant. Finesse, intuitive navigation, little to no loading time are also good signs.

Take your time to choose.
